1. What this privacy notices covers

Lodders Solicitors LLP (“Lodders”) is committed to protecting your personal information. In this notice, references to ‘we’ or ‘us’ mean Lodders Solicitors LLP. This notice explains how we collect and use the personal information about you for the purposes of running our website, informing you of our commitment to the UK Data Protect Act 2018 (DPA) and the EU General Data Protection Regulation 2018 (GDPR).

3. Data Protection Principles

Personal data must be processed in accordance with six ‘Data Protection Principles’ under the DPA and GDPR. It must:

  3. Be adequate, relevant and limited to what is necessary for the purposes for which it is processed;
  4. Be accurate and kept up to date to the best of our knowledge. Any inaccurate data will be rectified or deleted without delay;
  5. Not be kept for longer than is necessary for the purposes for which it is processed; and
  6. Be processed securely.

We are accountable for these principles. Lodders will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with the principles of the DPA and GDPR.

4. Information we gather

 Lodders gathers certain information about you when you use our website.

Website enquiry

When you use the enquiry form on our website, a member of the specified department will receive the enquiry. We have a legitimate interest to process this data and this information will be dealt with in accordance with our information security policy.

We may use the information provided for a number of purposes including the following:

  • Compliance with legal, regulatory and corporate governance obligations and good practice
  • Perform services you have requested
  • Notify you about changes to our service
  • To provide you with information about our work or our activities that you have agreed to receive, for example marketing.
  • We collect information which could be used for profiling. However, we do not currently do this and we have no intention to do so in the future.

When you enter competitions through our website, the following information will be collected:

This information will only be used for the purposes of the competition and, unless otherwise specified, will be removed from Lodders’ contact list upon the conclusion of the competition.

Performance cookies

We use Google Analytics to help us understand how people arrive at our website, how many people arrive at our website and how people browse or use our website. The data stored by these cookies never shows personal identifiable information from which your details can be ascertained. Lodders have requested IP anonymization from google analytics, which anonymises the address as soon as technically feasible at the earliest possible stage of the collection network. The IP anonymization feature in Analytics sets the last octet of IPv4 user IP addresses and the last 80 bits of IPv6 addresses to zeros in memory shortly after being sent to the Analytics Collection Network. The full IP address is never written to disk, meaning Lodders does not see the IP address.

Social media cookies

These cookies allow people to connect with Lodders via our social media channels, such as Facebook and Twitter. These cookies are not within our control. Please refer to the respective privacy policies for how their cookies work.

 We have a legitimate interest to process information when you visit our website, subject to our Legitimate Interests Assessment.  We will use the information we get from your use of our website and services to:

6. Where we may store your information

Any information downloaded from our website administration services or submitted into the enquiry form will be stored at Lodders in line with our information security policy.

We use third parties to help us monitor and host our website. We require third parties to comply strictly with our instructions and data protection laws and we will make sure that appropriate controls are in place where third parties have access to personal data. We enter into contracts with all of our data processors and regularly monitor their activities to ensure they are complying with Lodders’ policies and procedures.

Any data that we collect from you will be transferred to our website analytics partners Impression, based in the UK. Some of the information will also be stored with Google analytics and Amazon Web Services, both of whom deliver their services within the EU or US, meaning they are therefore subject to EU/US Privacy Shield requirements.

By continuing to use our website, you agree to this transfer, storing or processing.

7. Your rights

You have the right to:

  1. Request a copy of the personal information we hold about you. We require you to prove your identity with two pieces of approved identification. Please address requests to the data protection contact and we will respond within one month, of receipt of your written request and confirmed ID. Please provide as much information as possible about the nature of your contact with us to help us locate your records. This request is free of charge unless the request is manifestly unfounded or excessive.
  2. Have any inaccuracies in your data corrected. If you would like to update the details we hold about you, please contact our data protection contact on the details set out at the beginning of this notice.
  3. Request that we delete your personal data so it is erased from our records.
  4. Have the data we hold about you transferred to another organisation.
  5. Object to certain types of processing such as direct marketing.
  6. Object to automated processing, including profiling.

8. Enquiries and Complaints

The data protection contact is the first point of contact regarding any enquiries arising from this privacy notice. Where possible, please raise all enquiries in writing.

If you are unhappy with our work or something that we have done or failed to do, please inform us in writing. Lodders will acknowledge receipt of all complaints and will endeavour to investigate the complaint within twenty working days.
