We are looking for a legal secretary to join our Private Client team. Although you will be based in our Stratford upon Avon office, this role will require you to cover a fixed term of 12 months in our Henley in Arden office to provide maternity cover. Travel to our Henley in Arden office to cover periods of absence and annual leave will also be required after the fixed term has been completed.

Working as part of a team you will provide efficient administrative support within the Wills & Probate team and the wider Private Client department. 

Job purpose and key tasks for the role:

Although specific responsibilities will vary, the role will include, but not be limited to, the following duties: –

  • Typing and completing a range of tasks, as instructed, including via digital dictation.
  • Preparing engrossments, letters, and other matter-related documents.
  • Taking and making external and internal telephone calls, including the handling of external enquires, via telephone or email.
  • Document and file management, including the scanning of documents and post received on a regular basis.
  • Assisting in the production of documents such as wills, LPAs, and other legal documents as required.
  • Assisting with client ID checks as directed.
  • Inputting client data to open files using the firm’s legal practice management software.
  • Making appointments, arranging meeting rooms and maintaining any diary entries as required.
  • Creating posting slips, dealing with money received and money going out.
  • Archiving documents and retrieving them from storage (requesting documents directly from the external storage facility).
  • Registering wills with the Certainty National Wills Register.

Knowledge and experience: 

  • Excellent typing and organisational skills.
  • Team player.
  • Ability to use own initiative. 
  • Demonstrate sound knowledge of IT skills in Microsoft Office, Outlook, Word and Excel.

Previous experience in a legal secretarial role and an interest in private client law would be desirable but not essential.
